Give staff instant access to the information they need with one-time link automated notifications

If teachers are in the middle of class or receive multiple automated notifications during lunchtime, they will want quick and easy access to the information they need. One-time links allow staff members to view records instantly.

Important: Please note that once you switch on the One-time link feature you will still need to set up the automated notifications for a staff member within their 'Staff' profile. Click here for a detailed guide on how to do this.

What is a one-time link and how secure is it?

Within your school, you can set up automated alerts to be sent to staff members. By default, these notifications will ask the staff member to log in to view the details of the incident but if teachers are in the middle of class or multiple notifications arrive during lunchtime, they will want quick and easy access to the information they need.

Medical Tracker's 'One-time link' allows staff members to view records instantly. Once the link is clicked it will expire after 10 minutes, the link will only be accessible for 48 hours and the staff member will need to log in to view it again. Student surnames and DOBs are not displayed using this link.

This is what the staff members will see when they receive an automated alert:

What records are compatible with the One-time link feature?

The One-time link feature is used for the following records:

  • Injury
  • Bumps & Scrapes
  • Illness
  • Near miss
  • Staff/Visitor
  • Notifiable diseases
  • Intimate care
  • Mental Health
  • Medication use

If the automated notification sent to a staff member is not listed above they will need to log in before being able to view the record.

How do I turn on one-time links for staff in my school?

Go to 'Settings' -> 'Account Settings' -> 'Security'

Important: You need to have 'Admin' permissions with the ability to edit 'General settings' to do this
