Parent contacts or emails not pulling through from Capita SIMS

For the management information system data to sync with Medical Tracker, certain criteria have to be met. If this isn't met, the data will not pull through. This guide will take you through how to update SIMS and how to find missing contacts.

Medical Tracker integrates with Capita SIMS through Groupcall Xporter on Demand. Groupcall Xporter on Demand pulls data from Capita SIMS and sends the data to Medical Tracker automatically every 24 hours. A common issue with the integration relates to parent contacts - this guide will take you through what needs to be selected within Capita SIMS and how you can find missing contacts/emails.

How does the contact information need to be configured in Capita SIMS to pull through to Medical Tracker?

For each contact, you will need to ensure they match the areas highlighted in yellow within the screenshot below:

Using Medical Tracker to find missing data:

Medical Tracker's 'Education visit report' exports all the contacts including contact numbers and email addresses. This report will allow you to easily find any students with missing parent/carer contacts or parent/carer emails.

Select 'Reports' and then 'Education visit report' or click this link once logged in:

Tick the box to select all and press 'Generate visit report' and then "Export visit report'

This will give you a spreadsheet and a column will list the parent/carer contact information we hold for each student along with whether they have a contact number and/or email address

You will then be able to find any students with missing parent/carer contact details which can be used to update Capita SIMS.
