New medication stock functionality - 2026

In summer 2026, we made several updates to how medication stock works in the app.

These changes are designed to make a clearer distinction between:

• medications required to manage a child's condition, as recorded on their careplan; and
• medications that are physically held in stock by the school.

Here are two common examples where what's on the care plan might be different from your stock levels:

A newly diagnosed student
A student is newly diagnosed with asthma. You create a care  plan based on information provided by their GP. The care  plan states that they have been prescribed a blue inhaler for use in an emergency, but their parent or carer has not yet brought an inhaler into school. The medication is therefore listed on the care  plan, but there is not yet corresponding stock held at school.

Replacing existing medication stock
A student requires daily medication for ADHD, and their parent or carer has consented to the school administering it. When the medication stock runs out, you need to add new stock to replace it. The care plan does not need to change, because the student's medication requirement remains the same.

Stock linked to care plans must be edited in the Medication stock module once it has been created

Once a stock record exists, anything changes to the physical stock held by the school should be done in the Medication stock module. These changes are no longer made via the care plan.

This includes:

• editing the expiry date
• adding stock tracking information like location, quantity supplied
• archiving stock when it has expired, been used, or returned to the parent
• adding fresh stock to replace old stock

Stock created via the Medication stock module can be linked to multiple conditions

When you add a stock record directly via the Medication stock module, you can link it to more than one condition. This allows the same pair of Epi-Pens to be linked to a single student's multiple allergies.

Stock linked to care plans can be archived

When you build out a care plan and include an expiry date for a medication, this now creates a standalone stock record in the Medication stock module. This can be archived when the time comes, ensuring that your stock records are always  accurate.

Updating care plans when prescribed medication changes

When the medication listed on a care plan changes, or is no longer prescribed, the careplan must be edited to remove the obsolete medications and add any new medications that have been prescribed.

This might include:

• a change to the dosage
• removing medication that is no longer prescribed
• adding new medication(s) prescribed to the student

You'll also want to update any stock you have, for example to return it to the parent or archive it.
